Securing a place for my child (new starters)
To request a place you need to complete a registration form and return it with £30 non-refundable registration fee. Bookings will be confirmed by a member of the Nursery team. In the event that a place is not available, the Sutton Day Nursery will put you on a waiting list and contact you as soon as the nursery can offer you a place. Once we have confirmed your place in writing, you will need to pay your first month’s fee by cheque, cash or card in advance.
Parents book the required days for their child. This is the same day/s or ½ days for each week. Fees are payable by standing order 1 calendar month in advance, any fees unpaid after the first day of the month will be surcharged at 5% thereafter each week. The nursery reserves the right to refuse admission to the child if the fees are overdue by more than 30 days.
Child care vouchers are also accepted as payment. The calculation of fees takes into account the fact that Sutton Day Nursery is closed one week of the year. No reduction of fees will be given for bank holidays. Any changes that are made to confirmed bookings have to be done at least 2 months in advance to the date, subject to availability, and will incur a £10.00 administration fee. It is the parent’s responsibility to ensure all fees are paid and are up to date.
The nursery budget is based on the amount of children registered and expenses do not diminish if a child is absent through illness or holidays. Therefore it is not our policy to offer refunds or alternative days.
The fees do not take into account the Early Years Free Entitlement. Your child is entitled to the EYFE from the term after their 3rd birthday. The funding entitles your child to 3 hours per session for a maximum of 15 hours per week for 38 weeks of the year. Sutton Day Nursery provides full day care service. This means that sessions are longer and we are open more than 38 weeks a year. Our fees also include breakfast, snacks, nappies and peripatetic lessons if required. Therefore the cost to you is the nursery fees minus the EYFE funding.
At SDN you can claim 15 hours over a maximum of 5 sessions with no more than 5 hours being claimed within one day. The entitlement covers 38 weeks a year, therefore the remaining 13 weeks of the year, (51 week year) payments will be required at the normal nursery fees.
Normal day clothes should be worn and parents are asked to provide appropriate outdoor clothing, i.e. Coat, scarf and hat for the winter months and sun hats etc for the summer months. Parents are asked that they label all clothes. A labelled change of clothes should always be available on your child’s peg; several changes if your child is toilet training.
Please note we cannot take responsibility for any clothes that maybe affected during the time your child is with us.
Babies must be provided with a daily supply of milk, which should be clearly labelled with their name. They should have a daily supply of a fresh change of labelled clothes.
All nappies and creams are provided by SDN, however if you wish to use nappies or a cream that are not normally used in the nursery, then these must be provided by yourselves.
If your child is still on formula or breast milk then a daily supply must be provided. This must be clearly labelled with their name. They should have a labelled change of clothes available at all times.
A pair of clearly labelled wellies must be provided.
Optional trips and activities will occasionally be arranged. There will be an additional charge for this and parental consent will always be required.
Children should not attend the nursery if they are suffering from sickness, diarrhoea, an infectious illness or have any specific rashes (until diagnosed by the doctor) and must be symptom free for at least 48hours before returning to nursery.
If a child becomes ill while at the nursery, a parent will be telephoned to inform them of their child’s illness and be asked to collect their child. If the parents are unavailable other authorised contacts will be called. If necessary, the child’s GP will be called. In the event of an emergency, the child will be taken to the nearest hospital, accompanied by a senior member of staff who will act in ‘loco parentis’ until a parent arrives.
Medication is only given when prescribed by a GP. Calpol is not given at the nursery.
If a child has to receive regular, prescribed medication whilst at Sutton Day Nursery, full written details must be provided and the medication clearly marked with the child’s name and dosage instructions. Attending the nursery whilst on medication will be at the discretion of the Nursery and Facility Managers.

Out of hours care includes any hours before 8am or after 6pm or after 1.00pm if a child has attended a morning session and before 1.00pm if a child attends an afternoon session.
If you need to collect your child after 6pm, please inform the nursery team by 5.30pm at the latest. If collection will be after 1.00pm please inform the nursery by 12.30pm at the latest.
If you arrange out of hours care at least 24 hours in advance the cost is £12.00 per hour, otherwise it costs £20 per extra hour for un-booked out of hours care.
Children cannot leave the premises unaccompanied or with an unauthorised person and the person collecting must be over the age of 18 years.
Parents of any children collected late will be charged £5 for every 15 minutes of lateness.
Reduction of Sessions
The number of sessions per week can be reduced, subject to 1 month’s written notice and your new requested block of sessions being available. If you give less than 1 months’ written notice, you will still be charged for the original number of sessions booked whether they are used or not.
Notice of Termination
A minimum of 2 months written notice is required when you wish to terminate your child’s place at Sutton Day Nursery. Sutton Day Nursery reserves the right to terminate a child’s place with immediate effect if a serious breach of these terms and condition occurs, or if termination of a place is considered by Sutton Day Nursery to be in the interests of the nursery and /or the continuing welfare of the other children at the nursery. Examples of this are parents using foul language or being abusive to staff and serious breaches of the agreement would include a parent frequently arriving late at the nursery without prior notification, or regularly failing to pay the fees.
Late Payment of Accounts
Sutton Day Nursery reserves the right to terminate your child’s place with immediate effect, if accounts are outstanding by more than 7 days from the date of invoice. Sutton Day Nursery reserves the right to refuse any bookings for additional sessions or services, or bookings for siblings, and/or suspend your child if the accounts are outstanding at Sutton Day Nursery or any other activity at Sutton Junior Tennis Centre / The Zone Health & Fitness.
Refund for Non-Attendance
If your child is absent due to illness, away on holiday or if the nursery closes due to ‘acts of god’ or environmental factors beyond our control, Sutton Day Nursery cannot offer you a refund. The Nursery budget is based on the amount of children registered and expenses do not diminish if a child is absent through illness or holidays. Therefore it is not our policy to offer refunds or alternative days.
The use of the car park is done so entirely at your own risk. The nursery advises that parent’s do not leave siblings unsupervised in the car during pick-ups and drop offs.
Our fees are renewed annually. Parents will be given one months notice of any changes in fees. It is your responsibility to make the necessary changes to your standing order and any late changes can be claimed.
